Job Summary:

POSITION OBJECTIVE

The regional admin assistant is responsible for maintaining all admin records properly. Support and advise the administrative personnel at the BRO office. maintain good collaboration among vendors, program staff and district.

Duties & Responsibilities:

JOB DUTIES AND RESPONSIBILITIES

• Coordination with the Bamyan office for quotation and purchasing material for programs and documentation, preparing its monthly report to the procurement department.

• Arrangement of Meetings, Conferences and training and providing refreshments for mentioned propose with the approval of District Manager and Regional Director.

• Quotation and rent car for short period of time for official propose with approval of RD and District Manager.

• Quotation and agreement of purchasing petrol with petrol pump for office cars, giving report to Bamyan office and Regional Manager, Administration for further purchasing petrol.

• To make sure office environment is clean and suitable.

• Meeting with support staff for better work environment.

• Car arrangement for program staff.

• Registration of office assets (Inventory).

• Preparing overtime sheet of supporting staff.

• Dealing with staff leave form and attendance sheet.

• Providing administration related forms for staff.

• Providing username for staff and controlling computers and system to avoid from Viruses.

• Preparing share drive to share the admin forms and information and fixing internet for staff.

• Preparing filling system in other to file all admin documents.

• Monitoring from the guesthouse.

• To carry out the responsibilities of the role in a way which reflects AKF’s commitment to protecting children in accordance with the Child Safeguarding Policy.

OCCASIONAL SIGNIFICANT DUTIES AND RESPONSIBILITIES

• Assisting the District Manager to make sure all admin-related activities are going well in the district.

• Perform any other job-related duty assigned by the supervisor.

DECISION-MAKING & AUTHORITY

• Prioritize admin activities and distribution of tasks to staff.

• Meeting with staff to find out the problem and find out solution.

• Arrangement of car for program staff.

Job Requirements:

JOB SPECIFICATION

• University degree at least bachelor’s in business administration or other relevant field from recognized institutions.

• A high level of interpersonal skills and good communication skills in Dari/English will be preferred.

• At least 3-5 years’ work experience in the Administration & Management field.

• To be a good Team Member.
